Privacy

At Declarants, we attach great importance to the protection of your privacy and the security of your personal data. This privacy statement explains how we handle your personal data, what rights you have, and how you can exercise them. We act in accordance with the General Data Protection Regulation (GDPR).

Responsible

Declarants, located at Jogchem van der Houtweg 14 in De Lier, is responsible for the processing of personal data as shown in this privacy statement.

Personal data we process

We process your personal data because you use our services and/or because you provide them to us yourself. Below is an overview of the personal data we process:

  • Address
  • Telephone number
  • Email address
  • Date of birth
  • Payment details
  • Other personal data that you actively provide in correspondence and telephone contact

Special and/or sensitive personal data

Our website and/or service does not intend to collect data about website visitors who are younger than 16 years old. Unless they have permission from parents or guardian. However, we cannot verify that a visitor is over 16. We therefore recommend that parents be involved in their children’s online activities in order to prevent data about children from being collected without parental consent.

For what purpose and on what basis we process personal data

Declarants processes your personal data for the following purposes:

  • Handling your payment
  • Sending our newsletter and/or advertising brochure
  • To be able to call or e-mail you if this is necessary to be able to perform our services
  • Inform you about changes to our services and products
  • To deliver goods and services to you
  • Declarants analyses your behaviour on the website in order to improve the website and to tailor the range of products and services to your preferences.

Automated decision-making

Declarants does not make decisions on the basis of automated processing on matters that may have (significant) consequences for individuals. These are decisions made by computer programs or systems, without a human being (for example a Declarants employee) being involved.

How long we keep personal data

Declarants does not store your personal data longer than is strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods for the following categories of personal data:

  • Personal data: as long as necessary for the execution of our agreement and in accordance with statutory retention periods.

Sharing personal data with third parties

Declarants does not sell your data to third parties and will only provide it if this is necessary for the execution of our agreement with you or to comply with a legal obligation. We enter into a processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. Declarants remains responsible for this processing.

Cookies, or similar techniques, that we use

Declarants uses functional, analytical and tracking cookies. A cookie is a small text file that is stored on your computer, tablet or smartphone when you first visit this website. We use cookies with a purely technical functionality. These ensure that the website works properly and that your preferred settings are remembered. In addition, we place cookies that keep track of your surfing behavior so that we can offer tailor-made content and advertisements.

On your first visit to our website, we have already informed you about these cookies and asked for permission to place them. This means that you can submit a request to us to send the personal data that we have about you in a computer file to you or another organization named by you.

You can send a request for inspection, correction, deletion, data transfer of your personal data or a request for withdrawal of your consent or objection to the processing of your personal data to legal@declarants.com.

To ensure that the request for access has been made by you, we ask you to send a copy of your proof of identity with the request. In this copy, black out your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks.

How we protect personal data

Declarants takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. If you have the impression that your data is not properly secured or there are indications of misuse, please contact legal@declarants.com.

Complaints

If you have a complaint about the processing of your personal data, we ask you to contact us directly. If we cannot work it out together, we will of course find this very annoying. You always have the right to file a complaint with the Dutch Data Protection Authority, which is the supervisory authority in the field of privacy protection.

Changes to this Privacy Statement

Declarants may change this privacy statement from time to time. Changes will be published on our website. It is advisable to consult this privacy statement regularly so that you are aware of these changes.
